Terms and Conditions

Much like two people working together on a meaningful project, therapy is a collaborative process that requires trust, consistency, and mutual engagement. The following policies outline the expectations and guidelines that support effective therapeutic work.


1. Confidentiality

1.1 Client Information

All client information is kept strictly confidential. This includes identifying details such as full name, contact information, nationality, age, and any information shared during sessions or communication. Client records are securely stored for a minimum of five (5) years. No information will be disclosed to any third party without the client’s explicit consent.

1.2 Exceptions to Confidentiality

Confidentiality may be breached when required by law or when there is a risk of serious harm, including situations where a client may be at risk of harming themselves or others, or where there are concerns about abuse or neglect of a child or vulnerable individual.

In such cases, appropriate steps may be taken to ensure safety, which may include informing relevant individuals or contacting appropriate authorities..

1.3 Couple & Family Therapy Confidentiality

In couple or family therapy, the relationship itself is considered the client. This means the therapeutic work focuses on the interactions and patterns between individuals, rather than on one person alone.

Information shared within sessions is treated as confidential within the limits stated above. If one party shares significant information individually (outside of joint sessions), it is expected that this information will be brought into the shared therapy space within a reasonable timeframe, typically within three sessions, in order to support openness and trust in the therapeutic process.

Therapy is not intended to hold ongoing secrets that may be harmful to the relationship or therapeutic process. If such information is withheld and is deemed to interfere with the integrity of the work, the therapist may pause or terminate therapy. All participants are expected to respect the confidentiality of shared information.

1.4 Public Encounters

If you encounter your therapist in public, your privacy will be respected. The therapist will not initiate contact unless you choose to do so, in order to protect your confidentiality. 

2. Fees, Payment & Policies

2.1 Session Fees

(Exclusive of VAT)

  • Individual Therapy: VND 4,500,000 / 60 minutes

  • Couple & Family Therapy: VND 6,300,000 / 60 minutes

2.2 Payment Policy

Sessions are confirmed upon receipt of payment via bank transfer at least 48 hours (2 working days) in advance. Failure to complete payment within this timeframe may result in cancellation of the session.

2.3 Cancellation & Rescheduling

A minimum of 48 hours’ notice is required

Late cancellations or missed sessions will be charged in full

Repeated late cancellations (e.g., three within a short period) may indicate difficulty maintaining therapeutic commitment. In such cases, the therapist reserves the right to discontinue therapy in order to prioritize clients on the waiting list.

2.4 Session Duration & Late Arrival

Sessions are typically 60 to 90 minutes in duration. If a client arrives late, the session will still end at the scheduled time in order to respect subsequent appointments. If a client arrives more than 25 minutes late, the session will be considered cancelled and charged accordingly.

3. Communication Policies

3.1 Communication Between Sessions

Communication outside of scheduled sessions (e.g., email or messaging) is limited to administrative purposes such as scheduling or payment.

3.1 Electronic Communication

While reasonable efforts are made to protect confidentiality, communication via email or online platforms may carry inherent risks. Clients are encouraged to use discretion when sharing sensitive information electronically.

3.2 Recording of Sessions

Sessions may not be recorded without prior mutual agreement. This is to protect the privacy and confidentiality of all parties involved.

4. Insurance & Reimbursement

Huong Tran does not provide direct billing to insurance providers. If requested, the therapist may complete and sign forms required by your insurance provider for reimbursement purposes. However, clients are fully responsible for:

  • verifying their own insurance coverage

  • submitting claims to their insurance provider

Huong Tran does not guarantee that services will be reimbursed, in full or in part, by any insurance provider. All session fees remain the responsibility of the client and are not contingent upon insurance reimbursement.

5. Client Engagement & Therapeutic Process

Therapy is a collaborative process that requires active participation from both the therapist and the client. For therapy to be effective, certain conditions support meaningful progress. These include:

  • a willingness to engage in the process

  • openness to reflection and new perspectives

  • consistency in attending sessions

  • a capacity to discuss thoughts, emotions, and experiences

  • a commitment to practicing insights between sessions

6. Conditions for Couple Therapy

In accordance with professional and ethical standards, couple therapy is most effective when certain foundational conditions are present:

  • There is no ongoing domestic violence (emotional or physical), and the safety of both partners can be ensured

  • There is no ongoing or active affair, and the relationship is clearly defined as the primary focus of the work

  • Both partners are willing to engage in the process and do not feel pressured or coerced into attending

  • Both individuals are genuinely interested in understanding and improving the relationship

  • Neither partner is attending therapy solely with the expectation of “fixing” the other. 

If these conditions are not present, individual therapy may be recommended as a more appropriate starting point.
